Questions to Ask Before Booking Car Shipping

The clear answer

Before booking, confirm who will transport your car, what the quote includes, how dates are defined, what insurance questions remain, and how cancellation and damage claims work. Get the important answers in writing so the quote, agreement, and pickup instructions describe the same shipment.

Scope: A practical checklist for personal vehicle shipments; add port and export questions for ocean transport.

Who am I booking with?

  • What legal business name will appear on my agreement?
  • Are you a carrier, broker, or an inquiry/referral service?
  • When will I receive the assigned carrier’s details?
  • How can I independently check the applicable registration?

Write down the answers and verify the actual transporting business before release. Our explanation of transport roles can help you understand why the business taking your inquiry and the truck operator may differ.

Does this quote cover the shipment I actually need?

  • Is the amount an estimate or a confirmed price?
  • Does it cover my exact pickup and delivery locations?
  • Is the transport open or enclosed?
  • Have modifications, vehicle dimensions, and non-running conditions been included?
  • For Hawaii, which road, port, ocean, and destination services are included?

Compare equivalent scope before comparing totals. A sedan that starts normally is a different loading problem from a vehicle with locked wheels. Read what affects car shipping cost and disclose the condition before booking.

What does the pickup date mean?

Ask for the first available date, the pickup window, and the estimated transit period separately. If someone promises a guaranteed date, ask which event is guaranteed, what conditions apply, and what happens if that commitment is missed.

Tell the provider about lease endings, seller hours, auction storage deadlines, flights, and receiving-contact availability. For a student moving to a campus, ask about access and permitted handoff locations; a carrier’s arrival estimate does not override campus loading rules.

What should I ask about insurance?

  • Who provides cargo coverage for the transporting carrier?
  • What limits, exclusions, and deductibles could affect this vehicle?
  • How are accessories, modifications, or high vehicle values handled?
  • What happens during terminal storage or a change of carrier?
  • Who receives a written damage claim?

“Insured” is not a complete answer. Use the insurance guide to distinguish cargo coverage from public liability and broker financial security.

What happens if my plans change?

Ask when any deposit becomes due, what it pays for, and which cancellation terms apply at each stage. Establish what happens before assignment, after assignment, after a failed pickup attempt, and after transportation starts. There is no single refund promise that can safely be assumed for every provider.

Also ask how changes are approved. If the vehicle stops running, a pickup address changes, or the seller delays release, notify the booking contact and request written confirmation of any price or schedule revision.

What must happen at pickup and delivery?

Confirm keys, authorized contacts, carrier preparation instructions, the condition inspection, and the balance-payment method. Ask for a copy of the bill of lading or other handoff document and preserve your own photographs. If you cannot attend, make sure your representative can inspect the car and communicate concerns.

At delivery, compare the vehicle to the pickup record and document new issues. Read what to do if the vehicle arrives damaged before collection, so you are not searching for instructions under pressure.

Use your inquiry to resolve the difficult details first

When requesting a Highroad callback, include the route, vehicle, condition, and a workable pickup window. Add the constraint that could change the plan: low clearance, a gated entrance, a port deadline, or missing auction release paperwork. The form requests contact; it does not book transport or collect payment.

Keep a saved copy of the answers you receive. A clear written plan is more useful than a long list of advertising promises.
