HIGHROAD / CAR SHIPPING GUIDE
How car shipping works,
from quote to handoff.
Start with a quote request, review the shipment details before booking, and document your vehicle’s condition at pickup and delivery. A form submission does not reserve transport or guarantee a date.

01 / FROM REQUEST TO HANDOFF
What happens after I request a shipping quote?
Your form starts a callback, not a shipment booking. We use the route, vehicle, condition, and preferred pickup window to discuss suitable transport. You can ask questions before deciding whether to proceed.
Share the route and vehicle
Use pickup and delivery ZIP codes, the full vehicle description, and a useful date range.
Review the available option
Discuss equipment, access, pricing, estimated timing, and the company handling transportation.
Confirm before booking
Review the written shipment terms and which details are estimates or commitments.
Inspect at both handoffs
Record the vehicle’s condition at pickup and compare it again at delivery.

How early should I request transport—and how long will it take?
Start when you know the likely route and moving window. If your move is weeks away, you can still explain the plan and the dates that matter. If you need pickup soon, say so; do not assume submitting a form reserves the next truck.
Pickup availability and transit time are separate questions. Ask for the expected pickup window, the estimated time after loading, and how delivery changes will be communicated. Distance, other stops, route availability, traffic, weather, and access can affect the plan. Hawaii adds terminal receiving, vessel scheduling, and possibly an island connection.
Example: If you leave Boston on November 1 but nobody can receive the vehicle in Orlando until November 5, share both dates. A preferred pickup date alone does not tell us when delivery will work. Arrange backup transportation if your plans depend on an estimate.

What should I confirm before agreeing to the shipment?
Ask for the full scope in writing: pickup and delivery locations, service type, vehicle condition, price, what is included, payment timing, cancellation terms, pickup window, and whether any date is guaranteed. Ask who transports the vehicle and who handles questions during transit.
- Price: Is it a quote, an estimate, or a confirmed booking price? What could change it?
- Dates: Is a requested day merely a preference, or has the provider committed to it?
- Access: Can the truck reach both locations, or is a meeting point needed?
- Protection: What cargo coverage applies, what is excluded, and what is the claim process?
- Special conditions: Are winching, low-clearance loading, port handling, or oversized equipment included?
Use the FMCSA consumer advisory when evaluating the transportation provider. Verify the actual company name and applicable registration information; a logo or “fully insured” phrase is not a substitute for the shipment terms.

How do I prepare my car for pickup?
Before the truck arrives:
- Clean the exterior enough to see existing marks and photograph all sides, the interior, wheels, and any existing damage.
- Remove valuables, loose personal items, and items that the assigned carrier does not accept. Get written permission before leaving belongings inside.
- Disclose leaks, starting problems, warning lights, low clearance, and modifications before pickup.
- Provide usable keys and explain any alarm, immobilizer, or special starting procedure.
- Confirm the carrier’s fuel or battery-charge instructions. Do not apply a mainland instruction automatically to an ocean shipment.
- Make sure an authorized person can attend pickup and delivery. Discuss an alternate representative ahead of time.
Keep your own copies of the booking details, contact information, and condition records. Do not put payment-card data or identity-document images into our general quote form.

What happens at vehicle pickup?
The handoff should include a condition inspection and a transport document, often called a bill of lading. Review the recorded condition before signing and keep a copy. Make sure existing damage is noted clearly and photograph the vehicle in the lighting available at pickup.
If the location is inaccessible, coordinate a safe, permitted alternative before the carrier arrives. If the vehicle’s condition differs from the description—such as a car that no longer starts or a wheel that will not roll—tell the service contact promptly. Equipment and pricing may need to be reassessed.

What should I check when the car is delivered?
Compare the vehicle with the pickup condition record before completing the handoff. Walk around it, look at visible surfaces and wheels, and note any concern on the delivery documentation. Take clear photos and contact the transportation provider promptly about any discrepancy.
If lighting or weather makes inspection difficult, raise that at delivery and follow the provider’s documented process. Do not rely on a verbal promise alone. Claim deadlines and coverage conditions depend on the applicable contract and policy.
If the shipment is delayed, ask for an updated estimate and the reason for the change. If the receiving person or address changes, discuss access and authorization before redirecting the vehicle.

What happens if the car or pickup location differs from my request?
Tell the transport contact before collection so the plan can be reassessed. A car reported as running may need different loading equipment if it develops a fault. A new pickup site with a narrow entrance, locked gate, or no collection staff may also change the arrangement.
Do not wait for the truck to arrive to disclose a lift kit, a seized wheel, or incomplete seller release. For a dealership purchase in Houston, confirm readiness with the dealer; for a Manhattan address, describe legal loading access. Ask what changes mean for timing and price before agreeing to a revised plan.
What if the pickup or delivery estimate changes?
Contact the service provider, clarify the revised window, and review the written terms. Establish who will provide updates and who can attend each handoff if your travel plans no longer align. Do not assume estimated dates are guaranteed or that storage, a rental car, or another delivery address is automatically included.
Record the agreement and keep the pickup and receiving contacts current. If the car arrives with a concern, compare it with the condition record, document the issue, and follow the provider’s claim instructions. Ask those questions before booking, when you can still compare the proposed service and terms.
