HIGHROAD / BUSINESS VEHICLE MOVEMENT · Prepared October 13, 2026
Dealer-to-Customer Vehicle Delivery Planning
A retail customer delivery requires a ready vehicle and a buyer who can receive it under the accepted plan. Coordinate sales promises with the actual transport terms, property access and inspection. A customer’s requested date or home address does not automatically establish a guaranteed doorstep handoff.
This requests contact about the proposed shipment. It does not take online payment, reserve equipment or confirm a pickup date.
Define the delivery scope in the sale and shipment
Confirm whether transport is included, optional or arranged independently, who authorizes it and who pays. Identify the performing party and accepted equipment. Do not promise vehicle demonstrations, installation, detailing or a showroom-style presentation unless those services are actually agreed.
Finish the release dependencies before calling the unit ready
Provide the correct VIN, keys, relevant accessories, current condition and real yard. Explain unfinished purchase or service steps. A retail appointment does not override an unresolved release, and any changed readiness should reach both the customer and transport contact.
Review the customer’s property and availability
Ask about apartments, garages, gates, loading permission and attending contacts. Have the provider and property review any alternative handoff. A neighbourhood address does not establish legal truck access or permission to unload in a nearby lot.
Prepare the customer for inspection and changed estimates
Give the accepted receiver pickup evidence and enough time to compare current condition. Explain the actual update process and what happens if availability changes. Keep sale completion and the transport handoff distinct, including which party handles each concern.
What to include in this transport request
- Sale/transport scope and payment responsibilities
- VIN, release completion and keys
- Real customer address and property restrictions
- Accepted receiver and inspection time
- Communication and contingency contacts
Use actual U.S. locations and describe relevant restrictions. Highroad’s current planning coverage is the contiguous 48 states and Hawaii; Alaska is excluded. Hawaii and other specialized handling require review of the actual scope. No availability or geographic acceptance is established by this page.
Equipment, cost and dates need separate confirmation
For an everyday vehicle, discuss open transport. If reducing ordinary weather and road exposure is important, compare enclosed transport alongside loading suitability, availability and written terms. Neither equipment label establishes damage-proof handling or a universal insurance outcome.
Ask for the complete price and the facts it assumes: real endpoints, current condition, dimensions, equipment and readiness. Separate preferred dates from estimates and accepted commitments. If any of those facts change, request an updated review before relying on the previous quote. Verify the arranger and performing carrier through the appropriate records and accepted agreement.
A planning situation to work through
A customer buys a vehicle with delivery arranged by the store, but the apartment property restricts commercial loading. The dealership shares the restriction before dispatch and coordinates an accepted handoff rather than promising the carrier will unload at the building entrance.
Hypothetical example; this is not a documented Highroad shipment or promised result.
Build the details before your callback
Car Carrier Pickup and Delivery Access Checklist helps organize your own inputs and unresolved questions. Its output is a planning aid, not an accepted order. Review the facts with the responsible seller, property and provider.
Questions about this request
Does vehicle transport include a delivery demonstration?
Only include services explicitly agreed with the responsible party. No demonstration or detailing service is claimed here.
Can the dealership promise the customer’s preferred arrival date?
Use the provider’s actual written commitments and distinguish them from estimates or requests.
What if condition, readiness or an address changes?
Tell the transport contact before dispatch and obtain revised acceptance and any changed terms. Do not preserve an outdated vehicle or property description just to keep a requested date.
